Job vacancy - Safety, Health, Environment & Quality Co-ordinator

We are looking for a SHEQ Co_ordinator to work with our existing team to maintain and grow our SHEQ data, producing statistics, analysing trends and providing accurate data by which our business can learn and grow.

Job location: Foundation House, Hedge End, Southampton

The role will be responsible for:

  • Monitor accident and incident reports received and update on the Accident & Incident Reporting Register
  • Generating monthly/quarterly/ad hoc SHEQ related reports in a timely manner, ensuring relevant information is circulated to stakeholders.
  • Maintaining audit actions and close out reports ensuring data is regularly monitored and actioned. Escalating where close out has not been achieved.
  • Monitoring the Safety email inbox and co-ordinate SHEQ processes relating to the Approved Contractor/ Supplier arrangements, completing a first line assessment of documentation, liaising with the Commercial teams, contractors and the business as relevant, providing a final pack to SHEQ Managers for review and final approval.
  • Recording external and ISO internal audit outcomes and to ensure close out of all internal audit outcomes (excluding site audits) on the non-conformance database.
  • Support with the provision of COSHH assessments for the business and upload these to relevant system once approved.
  • To be a point of contact for the business, assist with the required document control of all management system documents and provide advice and support, as necessary.
  • To be familiar with the content and to assist in the development and maintenance of the organisations Management Systems to ensure continual business improvement.
  • To assist in the compilation of the annual audit and assessment schedule (internal site audits and ISO internal audits) to ensure all areas are incorporated and circulated to the relevant stakeholders (SHEQ Advisors/Management/Directors).
  • To assist with the customer complaints and compliments process, providing first line response to the customer and support the management team to maintain contact and ensure full close out. of any required actions
  • To attend, contribute and maintain minutes of departmental and other meetings as required
  • To become a Boris/Salesforce Admin champion and be able to create or adapt audit and other SHEQ forms on Boris as required
  • To support in the creation of toolbox talks and other bulletins and ensure this is communicated to interested parties,
  • To ensure SHEQ technical documents are uploaded and maintained as accurate on Boris or Salesforce so that the business is able to retrieve up to date data as needed.
  • Contribute to the review of SHEQ data analysis and identify trends or issues of concern with the SHEQ team and assist in the creation, modification and if applicable, delivery of relevant action plans.
  • Provide support in the completion of office/warehouse audits and update computer screens and SHEQ notice boards as requested
  • Providing co-ordination and administrative support to the SHEQ Team and wider team/business as requested.

 

Qualifications and experience:

  • A level or degree in relevant field, relevant skills and experience will also be considered
  • Strong analytical focus, with an eye for detail.
  • A strong communicator, who possesses good organisational and written communication skills, with the ability to interface with people at all levels
  • A good working knowledge of Microsoft office especially Excel & PowerPoint.

  • Displaying excellent personal safety and challenging others when unsafe behaviour is observed. Ensuring that behaviour is in accordance with the company Health, Safety,
  • Environmental and Quality guidelines.

  • Knowledge of ISO Management Systems.
  • Knowledge of Document Management Systems.
  • Knowledge and experience of SharePoint management systems.
  • Experience of working in a customer service environment
